Inside the S-Docs Intern Program That’s Boosting Customer Experience

By Blog No Comments
growing

Have you met the 2019 S-Docs interns? If you’re a current S-Docs customer, or even if you’re considering becoming one, chances are our interns have played a role in your S-Docs experience. This summer we brought on seven of University of Michigan and Michigan State’s brightest for a three-month internship to grow their knowledge and expand the ways we engage with our customers. The result was a happy team, plenty of new ideas and satisfied customers. So let’s dig into the S-Docs internship a little more, shall we?

The Backstory

It all started when S-Docs CEO Dan Pejanovic was looking for a way to establish and build a connection with U of M in Ann Arbor, MI to foster relationships with upcoming graduates. University of Michigan has prestigious computer science, engineering and business degree programs which are highly sought after by top talent every year. He thought, why not tap into this pool of talent and build mutually beneficial relationships with these students over their years in Ann Arbor, potentially opening the door for future employment? With this idea, the S-Docs internship program came to life.

Forget Fetching Coffee

We all know the stereotypical internship involves grunt work and fetching coffee, but we wanted to offer our summer interns a different, more beneficial experience. Instead, our aim was to expose college students and recent grads to the inner workings of a SaaS company; more specifically the culture, work ethic and product knowledge of S-Docs. Our interns gain a real-world opportunity to figure out how to problem solve, learn new skills and manage multiple projects at the same time. Plus, we’re empowering the next generation of business and technical talent and providing them an arena to identify and exercise their strengths. Zach, our content and technical writing intern, summed up his experience by saying:

“I was responsible for updating documentation which directly helps the customers by informing them on our product and our best practices. Because it’s a more tight knit team, we have more responsibility. That teaches you great work ethic.”

Boosting Customer Experience

The way we see it, our internship program has plenty of key benefits, for everyone involved, but especially for our customers. Because we take a hands-on approach with our interns, they work directly with customers on a day to day basis and bring fresh ideas to the team. From qualifying leads and getting in touch with interested companies from the AppExchange to setting up demos and answering product questions, our interns have an in-depth understanding of S-Docs to better assist our customers.

Matt Fabian, Account Director, commented on how the interns assist with customers:

“They help our customers get the information that they need and help them better understand how our business works. We’re expanding our program each year, and we love the input the interns bring.”

Beyond following up with leads and interacting with our customers, S-Docs interns are involved with the product development itself. This summer, two of our software engineering interns Josh and Jasmine worked on the S-Sign  product. Their focus was to enable multi-sign, which makes it possible for multiple users to sign the same document in a neat, orderly way. According to Jasmine:

“I enjoy enhancing the customer experience with S-Docs by helping build product improvements that the customer benefits from directly.”

What Our Team Is Saying

As far as the S-Docs team goes, we couldn’t be more thrilled about the internship program. We gain fresh ideas and uncover new ways to solve problems from an influx of students with varying backgrounds and levels of experience.

And the consensus from our interns? They’re having the time of their lives, learning the ins and outs of marketing, sales, product development, and more. Looking toward the future, interns have an opportunity to continue to work throughout the school year, depending on class load, and upon graduation, there’s a foot in the door to be considered for a full-time position.

So here’s a special shout out to this summer’s S-Docs interns Jasmine, Josh, Alex, Brett, Mark, Kelly and Zach. We and our customers appreciate all your hard work!

Searching for an Easy Document Generator for Salesforce? We’ve Got You.

By Blog No Comments
easy button

When was the last time you started looking for something you thought would be a simple, but wound up spending hours scouring the internet for the answer? The rabbit hole can suck you in quickly, especially when you know there has to be a way yet you can’t seem to find the answer. We’ve all been there.

Whether you’re new to Salesforce or have been using it for years, there’s no shortage of tips and tricks to help you navigate your way around the popular CRM. But despite Salesforce’s ease of use, questions are bound to come up that stump people and cause them to go looking for answers. One of those questions you may have asked and we get asked about all the time  - is there an easy way to generate documents within Salesforce?

The short answer is not exactly.

The Limits of Salesforce

When Salesforce was built, their main focus was on creating a high-performing CRM, which they have executed very well. The ability to create documents in Salesforce was not their main priority and the functionality to date is very limited. Users can generate documents such as emails, quotes, and export Excel files but those are very limited. That leaves Salesforce users two places to look: free apps and paid apps.

Free Apps are Great, but Limited

Because Salesforce lacks the functionality to generate robust, customized documents for users, a few companies built solutions to alleviate the burden of easily extracting Salesforce data into a nice looking document. Free apps for creating documents in Salesforce enable users more customization than Salesforce’s out-of-box functionality. With free tools, users can often add images, headers and predetermined clauses, like Terms & Conditions, to their documents. The drawbacks? Free apps lack many of the customization features, dynamic functionalities and integrations users are often searching for when looking for an easy way to create documents from Salesforce.

Why Paid Apps are the Holy Grail

Paid apps are hands down the most reliable and easiest way to generate documents from Salesforce. With an unmatched level of features, plenty of pre-built templates plus 24/7 live support, paid apps are the way to go. When users pay for an app, they unlock sophistication in their document generation process. This might include the ability to incorporate related lists, SOQL queries, conditional logic and other advanced rules. What’s more, paid apps easily integrate with third party software such as Google Drive, which speeds up internal communication and overall team efficiency.

In the end, you don’t need to scour the web looking for an easy document generator for Salesforce. A paid document creation app is worth the investment and allows users to generate sleek looking documents at the click of a button. Looking to narrow down your search even further? Try a native app. S-Docs is the only 100% native document generation solution for Salesforce, which means your data never leaves Salesforce, making your documents more secure and teams more efficient.

4 Ways Native Salesforce Apps are Transforming the Healthcare Industry

By Blog No Comments
Nurse Helping Elderly Couple At Hospital Counter

If you’ve been to the doctor recently, you’ve likely noticed some new technology. Paperwork that used to be filled out on a clipboard has been replaced by digital forms via email that can be completed beforehand. In some cases, your doctor speaks to you virtually on a screen, rather than in person. Your prescription can be ordered and filled before you’ve even left the office. Healthcare is changing and many organizations are looking for innovative technology to help make their teams more productive.

Salesforce, the number one ranked customer relationship management software, is often working behind the scenes to help healthcare businesses integrate, store and process patient data all while keeping it secure. If you’re familiar with Salesforce then you’ve most likely shopped the AppExchange, a marketplace of cloud-computing solutions available to Salesforce users.

With thousands of apps available, it can be difficult for a healthcare organization to know which would make their team the most productive. Our answer? Native apps.

Native apps are built 100% within the Salesforce infrastructure. This means that data does not leave the cloud. So what are the unique features native apps offer that are transforming the healthcare industry and making teams more productive?

You Might Also Like: Always Choose The Native App On The AppExchange -- Here's Why

Increased Security: Keeping patient data secure is a top priority for healthcare businesses. Because native apps are built directly on the Salesforce platform, all patient data remains within Salesforce and is never stored or processed on external servers. This is not the case with non-native applications. Healthcare teams benefit from native apps because they conform to the security settings already established within Salesforce.

Consistent Reliability: In the healthcare industry, having reliable software applications is key to productivity. Because native apps reside 100% within Salesforce, they update when Salesforce updates. Consistency is maintained with any new releases Salesforce pushes and native apps automatically work with any recent updates. This is a game changer for healthcare organizations that count on their technology to communicate patient data at all times risk software not being up to date.

Reduce Costs: The rising cost of healthcare is a hot topic these days and many healthcare organizations are looking for ways to save. One solution is choosing a native app on the AppExchange because native apps leverage your existing Salesforce licenses and offer cost savings in an increasingly expensive industry.

Streamline Business: Communicating between teams relies on well-tuned processes and software that moves quickly and efficiently. Healthcare organizations have transformed the way they transfer data from team to team with native apps and eliminated the frustration of inefficient workflows.

For healthcare organizations, there are plenty of options to choose from on the AppExchange. When searching for a native app, it’s important to note that some apps claim to be native, but just offer a native user experience. Make sure you can recognize the distinction. 100% native apps are built on the Force.com platform. Be sure to thoroughly research the app you’re considering beforehand so you know it’s 100% native.

As healthcare continues to change, introducing new technologies to maximize productivity can ensure your business stays on the front end of innovation. And native apps are a quick and simple solution that can help any team reach new levels of productivity with Salesforce.

Document Automation in Healthcare: 3 Patient Data Benefits You’ll Love

By Blog No Comments
Health visitor and a senior man with tablet during home visit.

In the healthcare industry, the number one key to success is maintaining patient satisfaction. Keeping patients comfortable, well-informed and healthy all translate to success.

But what about keeping patients’ information secure?

Healthcare documents hold the most sensitive data patients have. Every healthcare organization is familiar with HIPAA and the compliance required to uphold the national standards for patient medical history and records. It’s laws like these that can make it difficult for healthcare organizations to implement critical software while keeping patient data secure.

But with the recent trend in digitizing the healthcare industry, innovative technology like document automation is paving the way for a new level of patient data security. So how does document automation keep patient information more secure, leading to more success for healthcare companies?

Patient Data Never Leaves The Cloud

Because of these HIPAA privacy laws, working with many cloud-based software providers can be challenging. For some healthcare organizations, there is too much risk involved.

This is because a lot of document automation apps utilize external clouds, think Amazon Web Services (AWS) or other 3rd party servers, to generate, store and aggregate patient data. It can be difficult to find a document automation solution that meets the needs of risk-averse IT organizations who must retain control of data. However, with a native Salesforce document automation app like S-Docs, patient data never leaves the Salesforce cloud.

You Might Also Like: 4 Ways Native Apps Are Transforming The Healthcare Industry

Patient Data Transferred More Efficiently

With the number of sensitive healthcare documents that are required by various departments, the transfer between teams can add additional risk and slow teams down.

When using document automation in healthcare, patient data changing hands is significantly less risky and less time-consuming. Document automation apps help teams easily and safely generate documents like treatment plans, patient reports and post-visit assessments and move them from one team to another automatically. The efficient exchange of information between teams ultimately makes healthcare organizations more successful.

Reduces Errors in Patient Data

One of the key benefits to the digitization of healthcare documents is that it reduces the risk of human errors when documenting patient data. Healthcare organizations are implementing new electronic health record management systems and moving away from the paper age altogether. But even with these technological advancements, the risk of errors still exist for many healthcare documents that are not automated. By automating healthcare documents such as doctor correspondence letters or medical device audits, the risk of human error decreases significantly.

S-Docs, the preferred document automation app by healthcare organizations such as Bayer, Johnson & Johnson and Baxter, is 100% Native — meaning it’s faster, easier to use and has the same look and feel as Salesforce. Since data never leaves the cloud it is more secure, creates cohesive patient data forms and compliance across different organizations in the business.

Are Document Creation Apps As Important As Sleep?

By Blog No Comments

There’s one human function crucial to our livelihood that is often underestimated – a healthy amount of sleep. Oh yes, maintaining a decent dose of z’s is just about as important to sustaining our health as any other basic human need. And sleep benefits us in more ways than one because when we’re fast asleep, our bodies work to retain information, process memories and repair tissue. And when we wake up, we feel rested and rejuvenated.

Unfortunately for most of us, getting a good amount of sleep is often placed on the back burner. Much like the way sleep benefits our health, so do efficient business functions benefit company health. Often we back-burner efficient business functions the same way we do sleep.

Case in point, document creation apps make business more efficient, yet they can easily be overlooked or neglected.

You Might Also Like: 6 Benefits Of A Salesforce Document Generator

Three Ways Document Creation Apps Are As Important As Sleep

Document Creation Apps Improve Efficiency

If you’ve ever pulled an all-nighter, you’ve likely experienced how lack of sleep affects your productivity the following day. You feel slow, groggy and one step behind the curve. Just like that feeling, the inefficient process of creating custom documents in Salesforce feels the same way. It’s slow and frustrating, especially when you have to navigate between multiple platforms. By using a document creation app like S-Docs, which is natively built on the Force.com platform, templates are easily customizable and accessible with the click of a button without ever leaving Salesforce. Just like waking up after a full eight-hour night of sleep, document creation apps keep you from feeling unprepared or inefficient and help create a more productive, healthy team.

Document Creations Apps Leave Less Room for Error

Without a healthy amount of sleep every night, our brains don’t have time to process information and transfer experiences to memory, which usually results in our forgetfulness and making silly mistakes. Similar to how these mistakes are a side-effect from lack of sleep, manually updating large documents between multiple teams can lead to side-effects like input errors and inconsistencies. Document creation apps can prevent these side-effects with automation technology that merges data seamlessly so no information gets lost, no matter how many teams handle it.

Document Creation Apps Keep You From Going Through the Motions

Lack of sleep can put you in a zombie-like state — you feel like you’re going through the motions, which makes work feel tedious. Your team can often fall into this same routine, completing tasks no matter how tedious they are because that’s how things have always been done. One routine task that could turn very tedious is creating contracts for customers by copying and pasting information, an exercise that feels like it’s twelve steps long. But these twelve steps could turn into two steps by using a document creation app to generate a simple, custom contract. What’s more, the data would never leave the Salesforce platform with a natively built app like S-Docs, so it would be more secure than other non-native options.

In case you’re new to document creation apps, their benefits go far beyond those listed above. But to put things simply, document creation apps empower your team to work faster and more efficiently within Salesforce. And just like a full night of sleep sets you up for success, so does a document creation app.

And it’s possible that once you’re using one, and it starts doing the work for you, you can get more sleep – it’s a win-win, really.

Can a Native App Help Overcome a Tedious Software Approval Process?

By Blog No Comments

If you’ve ever tried to enact change at work, you know it can be an arduous process. Something as simple as coming up with a better system for handling the dishes piling up in the kitchen can feel like it takes months to implement. And when it comes to more involved processes like getting approval on new software, it can seem as if the list of steps and approvals never ends.

With over 3,000 apps on the Salesforce AppExchange, there are countless software options that integrate with the popular CRM platform. However, many of these apps and their integration with Salesforce often triggers a series of protocols for security and procurement teams. For example, even though all industries know data security is important, Financial Services is unique in that the data they specialize in is held to an even higher standard. Data like personally identifiable information (PII), finances, credit and loan details, and underwriting, all require extremely high standards and regulatory compliance for data security. In their world, one of their top priorities, often above all else, is to keep data secure and ensure all software purchases comply with corporate and government regulations.

To ensure compliance, they've developed thorough processes for approvals that validate all software purchases. Typically speaking, new software must go through an in-depth security review with security officers. Once a need has been identified and a software recommendation has been made, getting budget approval and department buy-ins takes a lot of time and energy. Routine procurement negotiations on top of security reviews slow down the time-to-value for software purchases and can be frustrating for other teams involved. The software buyers want to get things up and running as soon as possible, and the software sales reps only see the benefits of their labor when contracts get signed.

The Loophole

Although every security and procurement process varies from company to company, getting approval on new software is generally fairly tedious. However, there’s always a loophole. If you’re already using Salesforce, a workaround exists for getting approval on new software from the AppExchange — it comes in the form of a native app. Software that’s native to Salesforce software, which has already been approved, could be music to your security and procurement teams’ ears.

You Might Also Like: Always Choose The Native App On The AppExchange -- Here's Why

Because native apps are built on the Salesforce platform, nothing leaves the Salesforce cloud and data remains secure, eliminating the need to run additional in-depth security reviews. For example, with a Native document generation app like S-Docs, the security and procurement processes that were previously completed to purchase Salesforce will likely cover the additional purchase of S-Docs.

Document Generation software handles some of the most sensitive data points and therefore should be subject to the same tedious approval and procurement processes as all other software. Fortunately, when it’s native to Salesforce, these steps aren’t always necessary. With an app like S-Docs, your Financial Services organization can say goodbye to the cumbersome process of getting approval on new software and work with fully integrated Salesforce technology that your security and procurement teams will thank you for.

Salesforce Hack: How to Increase Productivity through Automation

By Blog No Comments

In the current age of technology, there seems to be an app for everything. Even though the world as we know it is full of gadgets and devices, inventing ways to do things more productively remains a part of our nature. As humans, we continually look for an answer to this question: how to increase productivity? How to get things done more efficiently while spending less time?

Enter automation.

Automation improves our everyday routines more than we realize, from inventions like preset coffee makers to DVRing our favorite shows so we can watch them when it’s convenient, the connection that automation has to our productivity is undeniable. The two are tied. When it comes to Salesforce, automation and productivity are linked as well.

Maybe you’ve asked yourself the question periodically while uploading sales contracts or sending proposals, or maybe you’ve even Googled ‘how to increase productivity’ while working in Salesforce. One of the top sales hacks to getting more done in Salesforce comes in the form of document automation.

The case for document automation

So why invest in a document automation software for Salesforce? For productivity's sake, of course. Document automation saves time and money, simply put. This labor-saving software reduces human errors and keeps your sales team out in the field, rather than getting bogged down in paperwork.

When dealing with customer data, security should be a priority. Document automation software was built with security in mind, ensuring that customer data never leaves the Salesforce environment and remains confided. Almost as important, brand continuity is upheld, and compliance with data security protocols and regulations keeps conversations moving without any interference.

You Might Also Like: What Salesforce Document Automation Can Teach You About Embracing Change

Where to start

Starting any large project can be daunting. Salesforce automation is no different, but can be broken into a few more digestible stages:

Analyze workflows: Often the answer to the question ‘how to increase productivity’ lies in identifying areas for more optimization. For example, are your sales representatives still copying and pasting? How much time are they spending putting together a quote or contract? These workflows are the first place to start when looking for areas to increase productivity.

Compile data and pool the team: The next step in the process means gathering the team together and getting their buy-in on how to improve workflows. Seeing the big picture and communicating how document automation will cut task time significantly is crucial here. Be specific with your team and get their feedback on what they think could be improved.

Weigh your options: Identify what document automation apps exist to solve each of the workflows you wish to improve. Whether it be sending quotes automatically or generating reports when a new customer upgrades their package, do your research. There are plenty of resources to aid you in the evaluation process, like the AppExchange or educational blog posts such as this.

Reach out to vendors: Once you’ve identified the automation tool that’s right for your team, get in touch with the software company over phone or email. Establish a point of contact which will provide with a sample template and workflow you would like to automate.

Understand their support and services: Every company operates a little differently when it comes to support and customer service. Make sure that you understand the ongoing support and customer service options for the automation software you invest in. A great place to verify the level of support you can expect is by reading the company’s reviews. Reviews indicate the level of support you can expect from their software. For example, S-Docs is the only 100% native Salesforce document generation software on the market and has a wide array of reviews about the support and high level of customer service they provide.

Productivity mastered

There’s no secret formula for how to increase productivity within your team, no matter how much we wish there was. Luckily, tools exist to help you make improvements. The final step in this above equation is to simply implement automation in Salesforce so you can start reaping the benefits of enhanced productivity and peace of mind.

Work smarter not harder — the Salesforce help your team needs

By Blog No Comments

Imagine this — you manage a team of ambitious, go-getting salespeople who use Salesforce all day, every day. You can feel the pressure to get deals signed and keep customers happy in the air. The team creates documents, adds e-sign fields to proposals, and closes business like clockwork — except there always seem to be holdups in the process. The repeated need for Salesforce help begs the question — is your team working harder, not smarter?

You’ve most likely heard the saying before.

No matter how cliche it sounds, we all know how frustrating it can be to try and get the help we need, so we can work smarter.

Salesforce help comes in many shapes and sizes. But before you order that copy of ‘Salesforce for Dummies’ that’s currently sitting in your online shopping cart, have you given Salesforce document generation apps any thought?

Sure, document generation may not be the first thing that comes to mind when you think about how your team could work smarter and not harder. So how can document generation provide the Salesforce help your team needs?

Automation, your new favorite word

The secret to getting more things done is automation. If your team has ever asked questions like, “How do I create documents without having to leave Salesforce?” an intelligent document generation software will automate and simplify their lives. Automation maximizes the things your team can get done by automating time-consuming tasks.

Here are a few ways automation delivers Salesforce help:

  • Fewer Distractions: Your team can focus on what they do best — selling — without spending all their time creating and modifying individual documents.
  • Decreased Errors: Say goodbye to mistakes and typos that come from manually inputting information into documents by automating the process.
  • Staying on Brand: With automation, you ensure the logo, font and style of your brand stays consistent across all generated documents.

With a document generation app, some Salesforce help questions resolve themselves. Document generation is one example of how automation can help your team’s new secret weapon to work smarter, not harder.

It’s fast, like lightning fast

You know that frustrating feeling you get when dealing with bulky documents? The spinning wheel or loading bar seems to mock you. When customers expect a quick turnaround and fast results, sluggish speeds can cause your team to reach out for Salesforce help. With a native app that’s built to handle detailed documents, your team can move easily and load docs lightning fast.

Another way to think about what this means — think streamlined. Streamlined by definition is something designed with the intent of having very little resistance and an increased speed or ease of movement. Using document generation as an example, by creating and integrating documents within Salesforce, the process becomes more streamlined and efficient.

These days, everyone wants things to be fast. Food on demand and quick service affect our expectations of almost everything. Adding efficiency and speed to your process should address some of the problems your team experiences and offer the help they need.

Change can be hard, but also good

If you’ve ever tried to implement change within your team, there’s probably been pushback. Change is never easy, but it does have a way of remedying many issues at one time if done correctly.

Hey, something as simple as a document generation app may be the Salesforce help your team has been asking for, without even knowing it. We all want to work as efficiently as possible. Empowering your team with automation and speedy tools will create an environment where they can work smarter, not harder.

Always choose the Native App on the AppExchange — Here’s why

By Blog No Comments

The world's biggest search engines understand that results they list are not created equal, so they write crazy smart algorithms that rank what makes page one/position one and so on. What's more, many of them look at the things their users care about and add filters to help find what they really want. On the AppExchange, one filter you shouldn’t ignore lies in the seemingly innocuous category of "other." But don't be fooled, "other's" third option may be the most important consideration you'll make when choosing a new app — it reads "native." Put simply, a native app offers benefits that non-native apps can't.

Of the 3,573 apps on AppExchange, only 13 percent are listed as native, so what makes them so special?

Example: native app vs non-native app document generation

Your team already connects to the Salesforce cloud every day. At some point, in the course of their work, they will click on a button within the app to do something, like creating a document. In the case of a native app, like S-Docs, the creation of the document happens within that same cloud and is delivered back to the user.

With a native app, to complete a task your data never leaves the Salesforce cloud to connect with a third-party cloud. All of your information and interactions happen within the Salesforce cloud.

A non-native app requires the Salesforce cloud to share the information with a third party server/cloud to generate the document, and then send it back to the salesforce cloud — meaning your data has left the secure environment of the Salesforce cloud.

5 Reasons to always choose the Native App

  1. Security: Because your information never leaves the Salesforce cloud, a native app is much easier for the IT department to approve — because Salesforce has addressed all the security concerns. This also means apps like S-Docs are already compliant with regulatory requirements like GDPR, data residency, HIPPA and more. And, because the app operates in Salesforce, users enjoy the same uptime, performance and reliability as Salesforce.
  2. Speed: Because there’s no communication between clouds, an app function like document generation happens nearly instantaneously.
  3. Ease: Because of how they are built, many native apps are simpler to use than non-native apps. For example, the S-Docs app was purpose-built for Salesforce, meaning it has the same look, feel, button icons and general user experience as Salesforce itself — making team training and use a breeze for everyday users.
  4. Cost: Because a native app and its functions live in the Salesforce cloud, there are no added infrastructure costs passed on to the customer, since they are already included in your Salesforce subscription.
  5. Update proof: We know Salesforce will make version updates. A non-native app would need to look at the update and make updates to reconfigure where required. Since the changes Salesforce makes must work with the Salesforce stack, users of native apps won't need to wait for a compatible version — it will already work.

Native apps sound great, right? They are, but we do offer a word of caution. Some apps that say they are native may be stretching the truth. Some apps touting themselves as native really just have a native user-experience (ie: an iFrame in Salesforce) and are built on external servers - a true native app is built on the force.com platform. That’s where it becomes essential to read specs and reviews to get a firm understanding of the app’s native functionality. Do your research and ask the right questions to ensure you're getting a true native app.

Just like major search engines, the AppExchange knows that not all apps are created equal; hence the all-important filtering functions they offer. When you’re searching for a new app on the AppExchange, consider filtering your search down, so only the native apps appear in the results — these are the only apps that can fulfill the benefits listed above.
