Always choose the Native App on the AppExchange — Here’s why

The world's biggest search engines understand that results they list are not created equal, so they write crazy smart algorithms that rank what makes page one/position one and so on. What's more, many of them look at the things their users care about and add filters to help find what they really want. On the AppExchange, one filter you shouldn’t ignore lies in the seemingly innocuous category of "other." But don't be fooled, "other's" third option may be the most important consideration you'll make when choosing a new app — it reads "native." Put simply, a native app offers benefits that non-native apps can't.

Of the 3,573 apps on AppExchange, only 13 percent are listed as native, so what makes them so special?

Example: native app vs non-native app document generation

Your team already connects to the Salesforce cloud every day. At some point, in the course of their work, they will click on a button within the app to do something, like creating a document. In the case of a native app, like S-Docs, the creation of the document happens within that same cloud and is delivered back to the user.

With a native app, to complete a task your data never leaves the Salesforce cloud to connect with a third-party cloud. All of your information and interactions happen within the Salesforce cloud.

A non-native app requires the Salesforce cloud to share the information with a third party server/cloud to generate the document, and then send it back to the salesforce cloud — meaning your data has left the secure environment of the Salesforce cloud.

5 Reasons to always choose the Native App

  1. Security: Because your information never leaves the Salesforce cloud, a native app is much easier for the IT department to approve — because Salesforce has addressed all the security concerns. This also means apps like S-Docs are already compliant with regulatory requirements like GDPR, data residency, HIPPA and more. And, because the app operates in Salesforce, users enjoy the same uptime, performance and reliability as Salesforce.
  2. Speed: Because there’s no communication between clouds, an app function like document generation happens nearly instantaneously.
  3. Ease: Because of how they are built, many native apps are simpler to use than non-native apps. For example, the S-Docs app was purpose-built for Salesforce, meaning it has the same look, feel, button icons and general user experience as Salesforce itself — making team training and use a breeze for everyday users.
  4. Cost: Because a native app and its functions live in the Salesforce cloud, there are no added infrastructure costs passed on to the customer, since they are already included in your Salesforce subscription.
  5. Update proof: We know Salesforce will make version updates. A non-native app would need to look at the update and make updates to reconfigure where required. Since the changes Salesforce makes must work with the Salesforce stack, users of native apps won't need to wait for a compatible version — it will already work.

Native apps sound great, right? They are, but we do offer a word of caution. Some apps that say they are native may be stretching the truth. Some apps touting themselves as native really just have a native user-experience (ie: an iFrame in Salesforce) and are built on external servers - a true native app is built on the force.com platform. That’s where it becomes essential to read specs and reviews to get a firm understanding of the app’s native functionality. Do your research and ask the right questions to ensure you're getting a true native app.

Just like major search engines, the AppExchange knows that not all apps are created equal; hence the all-important filtering functions they offer. When you’re searching for a new app on the AppExchange, consider filtering your search down, so only the native apps appear in the results — these are the only apps that can fulfill the benefits listed above.

  • Live Edit
    • This feature allows end-users to live-edit PDF documents in their browser. This improves flexibility without impacting compliance risk because the document never leaves Salesforce.
  • Runtime Prompts with Decision Trees
    • Previously Runtime Prompts allowed you to prompt end-users to fill out information at run-time so the information would be dynamically inserted into the document. Now, with decision trees you can take this one step further by adding logic to prompt additional questions based off an end user's response.
      • Consider the following use case: A user needs to select which clause their contract should have: clause A or clause B. Then, if the user chooses clause A, the user should be prompted with questions 1, 2, and 3. Conversely, if the user chooses clause B, the user should be prompted with questions 4, 5, 6. Finally, with this new update, all the input provided by the user can be merged into the generated document. 
  • Related List Render
    • Enhance your automation capabilities with Related List Render. For each column on each record in a related list, you can conditionally display anything you'd like based on the value of the data in that column.
      • Consider the following use case: your template has a related list of Opportunity Products, and for products that have a Quantity of 0, you need to display --NONE-- instead of 0 in the Quantity column. 
  • Multi-Language User Experience
    • Users can now interact with S-Docs in their native language when creating and sending documents.

The Salesforce AppExchange has well over 3500 apps. While this number may seem small when compared the App Store or Google Play, it is the “world’s largest business applications marketplace” and all of its apps are built specifically for the customers of one company.

Sure, when you narrow down the apps based on a business need, the numbers become more manageable. But, the volume can still be overwhelming. For example, a “document generation” search returns 319 apps. Some free. Some native. Some new. Some old.

What should you consider as you evaluate the best option for you and your business? In this article, we’ll give you tips and best practices to consider as you dive in.

What business need initiated your AppExchange search?

Determining the answer to this question will set you on the right path to selecting what app works for you. It could be one business need or a combination or many. Perhaps you’re starting a new project. Or maybe there’s been a problem with an existing process. Start with Google. Find reviews to see what others have to say. Blogs also offer a plethora of information that can help provide other perspectives. When you're at Dreamforce or other trade shows, ask questions to hear feedback from your peers and check out the different booths. .
Salesforce also has a number of great resources from user groups, community events, webinars and Trailhead courses and online training.
G2 Crowd provides a repository of over 500,000 user reviews for business software and services. Analyst firms can provide a well-versed take.
If you have the time and budget, consider engaging with an industry analyst firm. Analysts generally have a broad understanding of services and apps, new technology, and offer fantastic insight into what will make sense for your needs. That said, remember that analysts often have relationships with the apps and companies you’re considering. So while their advice is extremely valuable, it should never be the only source you consider.
Incorporating research from different sources will provide you with different takes and a well-rounded picture.

Factors to take into consideration

Once you outline your business needs and evaluation process, there are a number of different things to keep in mind as you make your decision.

  1. Is it a native app? These integrate seamlessly with Salesforce, which provides benefits for the user. In addition, native apps are more secure, much faster, easier to use and are generally more cost effective.
  2. Understand how companies define “native”: Apps will advertise with a mention that they’re native. Most of the time, they mean user experience (ie: not leaving Salesforce) as opposed to the app being built directly on the Salesforce platform. If that’s the case, benefits mentioned above, like security, won’t be the same.
  3. How much does it cost? Some apps are free, some have a price tag attached, and some have free trials with the opportunity to upgrade. Will a free app work for you or will you need to pay for an upgrade? Is it in your budget to pay for an app? Consider apps that offer a free trial.
  4. Is the app mobile-friendly? Does your team need to have access to the app anywhere, anytime, even from a phone?
  5. Are different languages available? Is it important that an app is offered in more than one language?
  6. Is the app in the top 10 of the AppExchange? Pay attention to where the app ranks in search placement. It says a lot about its popularity and quality. Consider your timeline and onboarding. How long is the training process? Is it highly involved or fairly simple?

Find out what it will take to set-up and implement

Bringing on any new tool takes time. Training is necessary and requires integration with your current system and processes. Needless to say, know what you’re getting yourself into before you make a decision.
Lots of factors come into play when digging through the 3,500 apps to find those that will make an impact on your company. Be thorough in your research and know how to properly evaluate apps on the AppExchange.

A Salesforce Document Generation App Will Change Your Life – Really!

Perhaps one of the most important is your approach to problem solving – listen first, understand and then provide a realistic solution.
